Challenge
A complex diabetic wound healing study faced significant enrollment pressure across the site network. The protocol required specialized wound assessment capabilities, careful subject qualification, and long-term retention in a patient population that is often difficult to engage consistently. Many sites struggled to identify qualified subjects and keep them active through the study duration.
Approach
Our team built a multi-channel recruitment and retention strategy that exhausted every practical avenue for patient access. We partnered with local podiatrists, wound care providers, and community centers to educate referral partners and patients on clinical research as a care option and not a replacement for treatment, but an additional pathway that could provide closer monitoring, access to investigational therapies, and the potential for improved outcomes.
In parallel, we launched intent-based marketing campaigns designed to reach patients actively searching for solutions related to diabetic wounds, non-healing ulcers, and advanced wound care options. Every lead entered an intensive 17-day nurture sequence built around education, trust-building, study awareness, and timely follow-up.
To protect site capacity and sponsor timelines, our recruitment team implemented rigorous pre-screening before subjects ever came into the office. This included detailed qualification checks, medical history review, wound-related eligibility questions, and expectation-setting around study visits and long-term participation. As a result, the patients who arrived on site were better informed, more qualified, and more likely to enroll and remain engaged.
Result
Our team enrolled 167 subjects in 12 months, making the site one of the highest-enrolling contributors in the entire trial. We also achieved a 94% patient retention rate through dedicated wound care management, proactive patient engagement, and consistent follow-up.
Our enrollment contribution was instrumental to the study’s successful interim analysis, and the sponsor highlighted our site’s data quality as exemplary.
